Most visibility reports die of completeness. The version that survives is short enough to read in the meeting it is presented in.
Lead with the diff
Open with what changed since last month: prompts gained, prompts lost, share moved, sentiment moved. Nobody needs the history they already approved.
If nothing moved, say so plainly and explain what was published. A quiet month with work behind it is a finding, not a failure.
Show five numbers only
Visibility score, non-branded share of voice, citation share, sentiment, and prompts lost. Five numbers cover the whole system and fit on one page - the visibility audit supplies the first of them.
Everything else belongs in an appendix that exists but is never presented.
Name the actions
Every report ends with three actions, each with an owner and a date. A gap without an owner is a complaint, not a plan.
Tie each action to the evidence above it: this prompt, this source, this competitor page.
Set the next cadence
Weekly scanning, monthly reporting is a rhythm most teams can hold. Scanning more often than you report creates data nobody reads.
Review the prompt set each quarter and note what changed. The report is only as honest as the questions behind it.
